Board Meeting Minutes
April 20, 2004 11:30am

Members Present: Kristy Anderson, Vicci Carter, Ramona Christensen, Donna Crock, Wendy Kinkade, Rich Wilson, Deanne Widauf, and Barbara Thomasee

Minutes: Donna Crock, seconded by Rich Wilson, moved to approve the March Board Meeting minutes, and the April Meeting minutes.

Treasurer's Report: Ramona Christensen presented the March 2004 Treasurer's Report showing a balance of $15,876.01 which includes term share accounts. Ramona also reported that the term share accounts' dividends were transferred to the savings account as requested.

COMMITTEE REPORTS:

Education: Barbara Thomasee reported that there were ten scholarship applications received for the community college scholarship, and one for the University of Wyoming scholarship. After reviewing all the candidates that had submitted scholarship information, the scholarship committee selected Megan Duffy, who is a senior at Moorcroft High School, to receive the $500.00 junior college scholarship. Megan will be attending Sheridan College, majoring in business administration. David Gale was awarded the $500.00 University of Wyoming scholarship. David is attending Central Wyoming College in Riverton, Wyoming. He is transferring to the University of Wyoming and is majoring in business administration. Wendy moved to approve Megan Duffy and David Gale as recipients of the ARMA scholarships, one for a community college and one for a University student, seconded by Ramona.

Educational Opportunities: Kristy Anderson reported she had reviewed Dr. Langemo's demo DVD and it was being passed around to the Board members to review. Once everyone has reviewed the DVD, then the Board will decide whether it is a program we want to purchase for training purposes.

Kristy also reported that the Mile High Denver Chapter will be sponsoring an all day seminar on Tuesday, May 18, 2004. The speaker is Jim Coulson, CRM, FAI. The topic is Enterprise Electronic Records Management, Real and Now.

Rich Wilson reminded the Board that the Wyoming State Archives will be a sponsor of the Society of American Archivist's Advanced Electronic Records Management Workshop, which will be held May 17 - 18, 2004 in Laramie.

Rich Wilson reported that the City of Cheyenne and the Wyoming State Archives are co-sponsoring a one day document imaging workshop on June 9, 2004. The presenter is Ray Cunningham and the workshop will be held at the new Community House located in Lions Park. The fee is $15/person.

Membership: Wendy Kinkade reported that we have 30 active members.

Kristy Anderson said she thought the April Business meeting went well and she hoped we would be able to recruit at least one new member from those guests that attended or from the letters sent out inviting people to attend the meeting.

Newsletter: Rich Wilson reported that the newsletter was ready to go, he was waiting for the President's article.

Programs: Deanne Widauf reported that the May 13th meeting will be a tour of the new fire training facility with Jeff Fox as the tour guide. Deanne is going to order pizzas for lunch. The June meeting will be the annual awards banquet. The awards banquet will be held June 1, 2004 at the Whipple House restaurant. Donna Crock advised that she has signed a contract with the Whipple House. The cost of dinner per person includes a choice of entree', dessert, soup or salad, and a non-alcoholic beverage. There will be a cash bar open from 6:00p.m. - 6:30p.m., dinner will be served at 6:30p.m.

Donna will purchase the necessary awards, plaques, etc. for the evening. Wendy Kinkade, seconded by Ramona Christensen, moved that Donna Crock purchase the awards, plaques, etc., and be reimbursed for same. Motion Carried.

Public Relations: Rich Wilson reported that the chapter's meeting information was sent to the Tribune/Eagle and Traders. Even though the information is sent to the paper, it is not always put in the paper.

Web Site: Donna Crock reported that she would put the June 9 workshop information on the website.

OLD BUSINESS:

Records And Information Management Month (RIMM):

Display: Vicci Carter reported that everything was ready for the display. It will be up from Monday, April 26 through Friday, April 30. Vicci also reported that she has made arrangements to have the balloons inflated and will pick them up on Monday morning from Paper Warehouse. In honor of RIMM, the Wyoming State Archives has scheduled an open house on April 29, 2004 at 3:00 p.m. with the Award of Excellence and presentations set for 3:30 p.m.

Slate of Officers: After a brief discussion, it was decided to combine the positions of Programs and Public Relations, since they are so closely related and in the past the chapter did not have a chairperson for each one. The Board did state that should the need arise, they would help Wendy with the dual positions. Following discussion, Donna Crock announced the 2004 - 2005 slate of officers, as follows:

NEW BUSINESS:

Mary Ellen Strauser: Kristy Anderson announced that Mary Ellen Strauser (formerly a member of the Denver and Missouri chapters), had been named as an ARMA Association Director for 2004-2007.

Next Meeting: The next Board meeting will be held at the Public Service Commission, 3rd floor of the Hansen Building, May 25, at 11:30.

Meeting was adjourned at 12:26 p.m.
