Board Meeting Minutes
February 20, 2007, 11:40am
Members Present: Kristy Anderson, Donna Baur (by phone), Ramona Christensen, Donna Crock, Wendy Kinkade, Pat Newbern, Tim Tyler, Rich Wilson, Barb Thomasee.
Meeting was called to order: By President, Rich Wilson at 11:40 a.m.
Minutes: Kristy Anderson moved to accept the Minutes of the January 23, 2007 Board Meeting. Motion seconded by Donna Crock. Motion Carried.
Treasurer’s Report: Ramona Christensen presented the February 2007 Treasurer’s Report with checking account deposits of $2,320.00, disbursements of $53.63, and a balance of $4,467.31. Term Share accounts Investment total were $10,595.83, for a current total balance ending January 23, 2007 of $15,063.14. Ramona related Share account # 4396 was coming due 2-22-2007. The board agreed to leave this account as is for renewal.
Committee Reports: Education: Barbara Thomasee reported no new activity this month.
Membership: Tim Tyler advised he would mail a welcome packet to new member Lyndell lee. Kristy stated she had already provided a welcome packet to Sue Layman and would E-Mail Tim the constitution and By-Laws to include when he sends the letter and packet (Lyndell Lee from Windsor, Colorado and Sue Layman from the Cheyenne Police Department). Information requests for membership have also been received from Eric Melvin.
Newsletter: Donna Baur thanked Rich for sending in the training info.
Programs: Wendy Kinkade reported April’s program would be at United Blood Services where we will tour the facility and learn about the “business of blood’ and related records. As we get closer to April, Wendy will let the board know about lunch plans.
Web Site: Donna Crock reported no new activity this month for the web site.
Old Business: 2007 March Seminar-Wendy reported she contacted the vendor who had previously expressed interest in setting up a booth at our Seminar to let him know we will not have a vendor show. Ramona reported as of this date, we have 48 registrations so far (40 paid plus 8 board members) with $2,275.00 received (some registrations have been received sans payment, but are expected once completion of paper work is processed - i.e., state of Wyoming only writes disbursement checks once a month). Ramona will be E-Mailing an updated listing of registrants to the Board at the end of each week prior to the Seminar. Kristy and Rich reported respective publicity contacts have been made. Donna handed out a listing of Silent Auction items received so far and asked that everyone please get her the value of each item donated and to please continue to obtain as many nice items as possible. "Donna advised she would check with the speaker, Jesse Wilkins, on the status of the handouts, so that they could be received a week prior to the seminar date to allow Tim and WYDOT time to copy them. Pat advised she would make sure all The name badges are taken care of and loaded inserted into the lanyards prior to the morning of the Seminar. She further clarified she would print the certificates for attendees as well. The Board (and guests) will meet for dinner with Jess Mr. Wilkins (Seminar speaker) at the Snake River Restaurant at 6:00 p.m., the evening before the seminar. Kristy Anderson advised she would check with Snake River Pub & Grill on availability for a room on the evening before the seminar (March 5) at 6:00 p.m. So anyone wanting to meet for dinner with the speaker and out-of-town attendees could do so. It was advised Board members, attendees and guests are invited.
2007 ARMA/WSA Workshop with Dr. Mark Langamo: Rich related the ARMA/WSA April workshop is coming along well. It is being co-sponsored through LCCC, WY ARMA, WY Archives, and WY SHRAB, and will be held April 26th & 27th at LCCC. At this time only the participant’s food will need to be funded (@ appx. $60.00 per person). A “Disaster Preparedness & Effective Response Procedures” all day workshop will be held May 7, 2007 at LCCC (Training Center-Room TC-112) through sponsorship with WY SHRAB, WY State Archives, LCCC, WY State Library and the WY Office of Homeland Security. New Business: Rich related Jesse Wilkins had announced he has made changes in his working schedule, which will make it easier to be more available for his family. Jesse’s schedule has definitely been busy these past couple years. Additional discussion regarded a request from ARMA International for an ARMA Fellow nominee. No action was taken at this time.
There being no further business, the meeting was adjourned at 12:26 p.m.
Next Board meeting will be held March 27th at the Wyoming Archives 1st Floor Conference room at 11:30 a.m.,
