Board Meeting Minutes
January 27, 2004 11:30am
Members Present: Kristy Anderson, Vicci Carter, Ramona Christensen, Donna Crock, Rich Wilson, Wendy Kinkade, Paula Sutton, and Deanne Widauf.
Minutes: Wendy Kinkade, seconded by Rich Wilson, moved to approve the December 16, 2003 Board Meeting and the January 8, 2004 Business Meeting minutes. Motion carried.
Treasurer's Report: Ramona Christensen presented the January, 2004 Treasurer's Report showing a balance of $13,342.95 which includes term share accounts. Ramona also reported that term share account number 4396 will mature February 23, 2004. It was decided to let it automatically renew, with the interest going into the share savings account. Ramona will verify that the interest is put into the chapter's share savings account.
COMMITTEE REPORTS:
Education: Barbara Thomasee reported that she has sent letters and e-mails to the various community colleges and the University of Wyoming regarding the scholarships.
Donna Crock reported that she had posted the scholarships on fastweb.com (this is a website which lists scholarships.)
Kristy Anderson reported that Mark Langemo has produced a training DVD - "Establishing and Managing Successful Records Management Programs." She asked if the chapter would be interested in purchasing it. Discussion followed on possible uses of the program, such as checking it out to different agencies to use as a records management training video for a nominal fee. This way many people could benefit from training sponsored by ARMA, especially those located in remote areas around the state. It would be maintained in ARMA's library. It was decided to order the demo sample and to review it first before deciding if it would be something the chapter wanted to invest in for training purposes. Kristy advised she would order the demo and pass it on to members to view.
Kristy also reported that the chapter has received a letter from Mark Shelstad, Associate Archivist at the University of Wyoming,, American Heritage Center. Mr. Shelstad was inquiring if the chapter would be interested in being a sponsor for the Society of American Archivist's Advanced Electronic Records Management workshop. Rich Wilson advised he is familiar with this organization and stated he would contact Mr. Shelstad to get more information. The Board tabled the request until the next Board meeting.
Membership: Kristy Anderson reported we have one new member, she is Sherri Mitchell (LaPratt).
Newsletter: Rich Wilson reported that he had one more article to put in the newsletter and as soon as he received it the newsletter would be sent out.
Programs: Deanne Widauf reported that the February 12, 2004 general meeting will be the seminar to be held at the Hitching Post Inn and Resort Center. The March general meeting topic will be Community Action of Laramie County and the speaker will be Mary Bienz. April's program is still pending. May's program will be a tour of the City's fire training facility.
Public Relations: Rich Wilson reported that the Trader's was very responsive about putting seminar information in their paper. Rich also reported he had sent information to Channel 19 and K2 Television
Web Site: Donna Crock reported that she has updated the seminar information.
OLD BUSINESS:
February Seminar:
Brochure: Kristy Anderson reported that the seminar brochures were mailed out the last week in December. Donna Crock and Rich Wilson sent e-mails to state employees .
CRM Credit Approved: Kristy Anderson reported that the seminar has been approved for 4.5 CRM continuing education credits.
Dinner with Speaker: The Chapter members will have dinner with Mr. Andolsen the night before the seminar on February 11, 2004 at Sanford's at 6:00p.m. Kristy Anderson advised she would reserve the room upstairs at Sanford's.
Door Prize: It was decided that this year's vendor bingo door prize will be a shredder, since it goes along with the seminar topic.
Folders: Kristy Anderson announced that the seminar folders would be stuffed over the lunch hour on February 9, 20024 at the County Clerk's Office. Valerie Roybal has collected the information for the folders from various agencies and businesses around the community. Kristy asked if anyone else had anything to donate, please get them to Kristy or Valerie or bring them to the "stuffing party" on the 9th. She asked that who ever could help please be at the Laramie County Clerk's office at 11:30 on the 9th. Lunch will be ordered in.
Handouts: Rich Wilson reported that he will have the handouts next week.
Public Relations and Audio Equipment: Rich Wilson reported that Mr. Andolsen was bringing his own computer, but would need speakers and a microphone.
Silent Auction: Donna Crock reported that she will be contacting more businesses next weekend to participate in the silent auction.
Vendors: Vicci Carter reported that we had a total of three vendors so far - Cheyenne Police Department, BRC Harris, and North Colorado Data Storage, and that Barbara Thomasee was doing followup letters and calling those vendors we had not heard from. Vicci advised she would prepare the vendor bingo handouts as well as the certificates for attendees, and name badges.
Christmas Charity: Ramona Christensen reported that the final total of donations for the Safehouse family including cash and gifts, was $530.00.
NEW BUSINESS:
MRM 2004 Leadership Training Conference: Paula Sutton, Region Coordinator, reported that ARMA Headquarters wanted input from the MRM region chapter member as to what they wanted presented at the Leadership Training Conference.
Next Meeting: The next Board meeting will be held at Holland and Hart on February 24, at 11:30.
