Board Meeting Minutes 
January 25, 2005 11:30am

Members Present: Kristy Anderson, Donna Baur (by phone), Ramona Christensen, Donna Crock, Wendy Kinkade, Valerie Roybal, Deanne Widauf and Rich Wilson. Absent: Barb Thomasee.

Minutes: Rich Wilson, seconded by Donna Crock, moved to approve the December 14, 2004 Board meeting minutes and the January 11, 2005 Chapter meeting minutes. Motion carried.

Treasurer's Report: Deanne Widauf presented the January 2005 Treasurer's Report showing a balance of $14,053.17 which includes term share accounts. Deanne also distributed a list of current registrants for the February Seminar. Kristy Anderson reported that she received the credit card in her name and the Wyoming Chapter of ARMA. She is now working on being able to access information for our account on-line.

COMMITTEE REPORTS:

Education: No report.

Membership: Valerie Roybal gave an update on membership, reporting there are 34 members in the Wyoming Chapter. Valerie reported that she contacted several individuals to see if they would be interested in joining our Chapter. She sent several brochures and applications for membership to Lynn Orester to distribute to prospective members.

Newsletter: Donna Baur needs the President's report to finalize the newsletter. Donna plans to repeat the February Seminar information and the Silent Auction in next month's newsletter.

Programs/Public Relations: The February Program will be the Seminar. Kristy Anderson noted that the Board will discuss the March Program at the next Board meeting.

Web Site: No report.

OLD BUSINESS:

Charities: Kristy Anderson announced that the chapter received a letter from a Wyoming soldier in Iraq thanking us for our generosity during the holiday season. In addition, the Chapter received other thank you notes from various agencies and people in response to the contributions to the Wyoming National Guard. Kristy requested Donna include information in our newsletter regarding receipt of thank yous from guard members.

February Seminar: Rich Wilson plans to e-mail the speaker information this afternoon on making the plane fare and travel arrangements to Cheyenne.

Brochure-The seminar brochure was mailed in the last week of December including 150 attorneys. Follow up e-mails were sent to state employees, State Training Digest, LAW, NARA (National Archives & Records Administration), Denver Mile High Chapter, Northern Colorado Chapter, SRMA (Society of Rocky Mountain Archivists) and Records Management ListServ.

Vendors-Kristy Anderson plans to work with Barb Thomasee on the status of the Vendors including sponsoring Breaks/Lunch. Rich Wilson plans to follow up with A-Z Document Destruction and also a Scanning Company as possible vendors. Kristy Anderson has also contacted several companies regarding being possible vendors.

Public Relations and Audio Equipment-Rich Wilson will check on a projector and any other equipment needed for the seminar.

Handouts-Rich Wilson plans to supply the printed material for the seminar, Valerie Roybal plans to follow up on discount coupons from the Downtown Development Association and pens from WYDOT to handout at the seminar.

Silent Auction-Donna Crock reported on the status of the Silent Auction. We have a few items to date. Kristy asked everyone to continue to get items for the Silent Auction.

Vendor Bingo-Kristy Anderson plans to ask Barb Thomasee to set up Vendor Bingo cards for the seminar.

Door Prize for Vendor Bingo and Speaker Gift- Upon approval by the Board, Rich Wilson volunteered to purchase a jump drive for the door prize and shop at the State Museum Store for the speaker gift.

Printing Certificates (include CRM/CLE Credit on Certificate) -Rich Wilson plans to have Pat Newbern in his office print the certificates.

Printing of Name Badges-Rich Wilson also plans to print the names for the name badges. Valerie Roybal will check to see if she has extra badges to supply for the seminar.

Dinner with Speaker Feb. 15, 2005-Rich Wilson plans to make arrangements at Sanford's in the upper level room. In addition, Rich will check to see if Sanford's will donate to the Silent Auction.

Discounted fee for Attendees for State, City, County for Printing/Postage Costs-Rich Wilson, seconded by Donna Crock, moved to approve the seminar registration fee be discounted to the County-1 @ $50.00, City-5 @ $50.00 and State 5 @$100.00. Motion carried.

Fund Raiser: Valerie Roybal announced that the Black Hawk Trip (Central City) is planned for Saturday, May 21, 2005. The board decided on a cost of $20.00 per person for the trip. Valerie will go ahead and make the necessary arrangements for the Black Hawk Trip. Valerie also suggested the possibility of a garage sale as another fund raiser.

NEW BUSINESS:

Next Board Meeting: The next Board meeting will be held on Tuesday, February 22, 2005, City Municipal Building, Room 208 at 11:30am.

Meeting was adjourned at 12:55pm.
