Board Meeting Minutes
March 22, 2005 11:30am
Members Present: Kristy Anderson, Ramona Christensen, Donna Crock, Wendy Kinkade, Valerie Roybal, Barb Thomasee, Deanne Widauf and Rich Wilson. Absent: Donna Baur
Minutes: Donna Crock, seconded by Valerie Roybal, moved to approve the February 22, 2005 Board meeting minutes and the March 15, Chapter meeting minutes. Motion carried.
Treasurer's Report: Deanne Widauf presented the March 2005 Treasurer's Report showing a balance of $16,676.49 which includes term share accounts. Deanne also distributed copies of the Seminar Revenue/Expense Report showing net revenue of $4,525.08. In addition, the Silent Auction raised $630.15 for the Scholarship fund.
COMMITTEE REPORTS:
Education: Barb Thomasee reported that two applications and two transcripts (without applications) have been received to date. Barb will contact the schools to follow up on the two transcripts to see if the applicants will submit the application forms. The Scholarship Committee final deadline for applications is April 11, 2005.
Membership: Valerie Roybal gave an update on membership, reporting there are 34 members in the Wyoming Chapter. Valerie sent information to Charlotte Seday on our local Chapter. Valerie reported that Catherine Cundall, Clerk/Teasurer of the Town of Glendo is now an official Chapter member. Vicki Nemecek has submitted her application but it has not been processed yet. Valerie Roybal will follow up on Debbie Leonard's application to see if it has been processed.
Newsletter: Donna Crock plans to send information on the Awards Banquet for Donna Baur to put in the newsletter. Kristy Anderson plans to ask Donna Baur to follow up on Catherine Cundall for the New Member's Corner. Kristy also wants information in the newsletter on the open positions for the 2004-2005 Board.
Programs/Public Relations: Wendy Kinkade announced the programs for the remainder of the year. The programs are as follows:
April 12, 2005 - Wyoming State Archives Tour of Records Center, Guest Speaker: Tony Adams. Location: 1712 Pacific Avenue, 11:30am, Lunch on Your Own
May 10, 2005 - The Preservation of Records and Photographs, Guest Speaker: Roger Joyce. Location: Barrett Bldg., Multipurpose Room 11:30am, Lunch to be catered by Grand Avenue Pizza
June 2, 2005 - Awards Banquet and Election of Officers
June 4, 2005 - Central City/Black Hawk Trip, Leave from City Parking Lot at 8:00am, Leave Black Hawk at 4:00pm; $20/person
Possible Tour of NARA (National Archives & Records Administration) Regional Center - Kristy has contacted the Northern Colorado Chapter and the Denver Mile High Chapter on a joint meeting/tour next fall. Kristy is waiting for their response on whether they would like to participate.
Web Site: Donna Crock reported that she plans to update the web site this week. She plans to post the Black Hawk Trip on the web site also.
OLD BUSINESS:
RIMM Week: Kristy Anderson announced that State Archives is not recognizing RIMM Week this year and the Chapter usually participates with them. Therefore, our Chapter will declare April 12, 2005 Records Management Day when we tour the State Records Center.
NEW BUSINESS:
Awards Banquet: Donna Crock announced that the banquet will be held at the Whipple House on Thursday, June 2. She announced the menu selections. There will be a cash bar starting at 6:00pm and dinner at 6:30pm. Kristy asked the Board if we should have a $10.00 to $15.00 contribution from the Chapter for the members' dinner. Donna Crock, seconded by Deanne Widauf, moved to approve that the Chapter pay $10.00 for each Chapter member that attends the banquet in June. Motion carried.
2005-2006 Slate of Officers: Kristy Anderson announced that positions are open for President, Vice President, Treasurer and Education. We need volunteers for these positions.
Election and Awards Committee Members: Kristy Anderson noted that according to our by-laws, the Chairperson of the Board is in charge of elections and awards. Donna Crock plans to ask several members to see if they would like to serve on the Awards Committee. The deadline for nominations for Board positions and Chapter Member of the Year is May 12.
Credit Card Application: Kristy Anderson mentioned that the credit card for the Chapter is in her name. Rich Wilson contacted Warren Federal Credit Union on the possibility of obtaining a credit card through them with the Chapter's name on the card instead of an individual person. Rich and Kristy plan to apply for a new credit card through Warren Federal Credit Union. Once the new card is issued, they will cancel the credit card with American National Bank.
Next Board Meeting: The next Board meeting will be held on Tuesday, April 26, 2005, City Municipal Building, Room 208 at 11:30am.
