Board Meeting Minutes
March 27, 2007, 11:40am
Members Present: Kristy Anderson, Donna Baur (by phone), Ramona Christensen, Donna Crock, Wendy Kinkade, Pat Newbern, Tim Tyler, Rich Wilson, Barb Thomasee.
Meeting was called to order: By President, Rich Wilson at 11:38 a.m.
Minutes: Donna Crock moved to accept the Minutes of the March 6, 2007 General Meeting as corrected. Motion seconded by Kristy Anderson. Motion Carried.
Treasurer’s Report: Ramona Christensen presented the March 2007 Treasurer’s Report with checking account deposits of $6,864.50, disbursements of $2,576.42, and a balance of $8,755.39. Term Share accounts Investment total were $10,595.83, for a current total balance ending March 27, 2007 of $19,374.90.
Committee Reports:
Education: Barbara Thomasee reported we have received 5 Scholarship applications to date. Scholarship review committee will consist of Barb, Rich, Wendy, and Pat. Kristy moved we sponsor up to three scholarships of $500.00 each. Tim Tyler seconded. Motion carried. Following discussion, it was agreed by the Board to extend our April 2nd due date for scholarship ‘posted date’ to April 20, 2007. Donna Crock related she e-mail the Financial Aid offices of the Colleges along with the High School Principals of extending the deadline.
Membership: Rich related some issues appear to be re-emerging on our membership with ARMA International. It was advised there may be 5 new potential members (2 from Parole Board, 2 from the City, and 1 from DEQ), and we had not received notification from ARMA to date. Rich will contact ARMA to confirm new memberships as well as updating those memberships that have been renewed.
Newsletter: Donna Baur reported this next Newsletter should be a large one. Following discussion Donna will amend Rich’s message regarding numbers at our March Seminar as well as make note that the May Disaster Recovery Workshop is full. There are still openings for the Mark Langamo Workshop in April according to Tony Adams
Programs: Wendy Kinkade reported April’s program would be at United Blood Services. Lunch will be from the Silver Mine Sub shop. Wendy will confirm everything via email. Wendy will also confirm the May program, with the suggestion for a tour and program at the Liquor Commission as soon as possible. Discussion followed concerning the date and location for our June meeting-dinner. Kristy asked for input as to a place and date, and she will check with establishments and try to determine the best date during the first week of June.
Web Site: Donna Crock reported she has updated the Webb site with information for the two upcoming Workshops.
Old Business: 2007 March Seminar Report: We had a total of 71 attendees (23 members, 47 non-members- including 1 student, and 1 guest speaker). Total registration revenue was $7,735.00; Total Silent Auction Revenue was $ 1,314.50; Total expenses were $ 2,595.82 for Net Revenue of $6,453.68 (includes Silent Auction revenue). Rich related our survey comments were good and that the general feel for our Seminar was that it was well done and well appreciated by those who attended. In addition, because of our Seminar, we anticipate several (4 to 5) new memberships for WY ARMA.
New Business: Donna Crock related the need for our Chapter’s PayPal and e-mail accounts appears to no longer be valid, and suggested we cancel each of them. Ramona added that most financial requests involved invoices and that she did not feel we needed the PayPal and e-mail accounts. With agreement from the Board, Donna will cancel these accounts. Kristy reported several Board Positions will be open. At this time Donna Crock has accepted the nomination for President and Pat Newbern has accepted the nomination for Vice President. Kristy asked for everyone to think about nominations and to contact her or Rich with names for consideration. Regarding RIM Week, Rich related Archives will be sponsoring a RIM’s week celebration with an afternoon program with special RIM Week recognition and a tour of the Archives with treats and beverages. Donna Crock motioned WY ARMA Chapter donate $50.00 towards help with treats/donations. Seconded by Barb Thomasee. Motion carried. Rich asked if the Chapter wanted to do a proclamation again this year. Following discussion, several of the Board will follow up with requests for the proclamations. Kristy will ask for the Mayor to sign a proclamation for RIM week and Pat will check with the Governor’s office for a proclamation signing again this year. Rich brought up the ARMA Leadership Conference to be held this summer (July 12,13,14) in Des Moines, IL. Because his daughter’s wedding is planned for the 14th, he will be unable to attend. Following discussion that it would be good for the in-coming president to attend, Kristy motioned that the chapter send two individuals from the Board to attend and to pay for their expenses. Seconded by Ramona. Motion carried.
There being no further business, the meeting was adjourned at 12:45 p.m.
Next Board meeting will be held April 24 at the Wyoming Archives 1st Floor Conference room at 11:30 a.m.
