Board Meeting Minutes
May 25, 2004, 11:30am

Members Present: Kristy Anderson, Ramona Christensen, Donna Crock, Wendy Kinkade, Barb Thomasee and Rich Wilson.

Minutes: Rich Wilson, seconded by Wendy Kinkade, moved to approve the April 20, 2004 Board meeting minutes and the May 13, 2004 Chapter meeting minutes. Motion carried.

Treasurer's Report: Ramona Christensen presented the May 2004 Treasurer's Report showing a balance of $15,442.01 which includes term share accounts.

COMMITTEE REPORTS:

Education: Kristy Anderson mentioned that the Chapter is waiting for the scholarship recipients to register for the Fall semester before a check can be issued for payment of the scholarships.

Educational Opportunites: Donna Crock, seconded by Ramona Christensen, moved to approve payment for the Web Seminar held on May 6, 2004 "Marketing Your RIM Program" hosted by ARMA International, presented by Sheila Taylor, CRM for $95.00. Motion carried.

The CD by Dr. Mark Langemo entitled "Establishing and Managing Successful Records Management Programs" has been circulated for review. The cost for purchase of the CD is $495.00. After some discussion, the board decided not to purchase the CD.

Kristy Anderson reminded the board of the upcoming Seminar on June 9, 2004 entitled "Document Imaging" sponsored by Wyoming State Archives and co-sponsored by the City of Cheyenne to be held at the City of Cheyenne-Kiwanis Community House (Registration Fee of $15.00). Rich Wilson noted that 73 persons are signed up to date. Ray Cunningham is the speaker for the Seminar.

Membership: Wendy Kinkade gave an update on membership, reporting there are 31 members in the Wyoming Chapter. Brandi Moore from Western Wyoming Community College in Rock Springs is a new member.

Newsletter: Rich Wilson plans to have the newsletter ready for mailing by Friday, May 28. Rich will notify the chapter members in the newsletter that starting in August 2004, the chapter will no longer be sending the newsletter in hard copy. The newsletter will be sent via e-mail.

Public Relations: Rich Wilson announced that no notices were published this month in the local newspaper for our upcoming meeting since it isn't open to the public.

Programs: Kristy Anderson reminded the Board members of the upcoming Annual Awards Banquet on June 1, 2004 at the Whipple House. Wendy Kinkade read a list of possible program ideas for next year . She asked for any suggestions. Please contact Wendy if anyone has additional suggestions.

Web Site: Donna Crock plans to update the web site after the new officers are installed.

OLD BUSINESS:

25 Year Plaque; Certificate of Appreciation: Kristy Anderson mentioned that our Chapter presented the ARMA 25 Year Plaque to Tony Adams during the Award of Excellence Presentation at the Wyoming State Archives on April 29, 2004. In addition, the Wyoming Chapter of ARMA received a Certificate of Appreciation from the Wyoming State Archives for their promotion of Records and Information Management.

NEW BUSINESS:

Audit Committee Volunteers: Kristy Anderson and Deanne Widauf volunteered for the Audit Committee. They plan to meet after July 1, 2004 to audit the Chapter books.

Chapter Meeting Dates: The Board decided to hold the monthly Chapter meetings on the second Tuesday of each month to better accommodate attendees at our meetings. The Board meetings will continue to be held the fourth Tuesday of each month. Kristy Anderson suggested that the Board meetings be held at the City Municipal Building starting in August 2004.

Retirement of Vicci Carter: Due to the resignation of Vicci Carter as Chapter Secretary, Ramona Christensen agreed to fill in as Acting Chapter Secretary for the remainder of Vicci's term.

Region Manager: Kristy Anderson announced that Paula Sutton is the new Region Manager for the Midwest/Rocky Mountain Region.

Upcoming Seminars: Kristy Anderson received a letter from Little America stating that their establishment would consider waiving room charges for future seminars if we have overnight bookings . The board may consider this when planning for next year's annual Seminar. Another suggestion for a seminar location is the City of Cheyenne-Kiwanis Community House.

ARMA International Conference: Donna Crock, seconded by Barb Thomasee, moved to approve payment of all expenses for the chapter President, Kristy Anderson, to attend the ARMA International Conference in Long Beach, California in October 2004. Motion carried.

Next Board Meeting: The Transition Board meeting will be held on Tuesday, August 24, 2004 at the City Municipal Building (Location TBA) at 11:30am.
