Board Meeting Minutes
October 24, 2005 11:30am
Members Present: Kristy Anderson, Donna Baur (by phone), Ramona Christensen, Donna Crock, Wendy Kinkade, Rich Wilson. Absent: Vicki Nemecek, Valerie Roybal, Barb Thomasee.
Minutes: Donna Crock, seconded by Kristy Anderson, moved to approve the September 25, 2005 Board meeting minutes as amended and the October 10, 2005, Chapter meeting minutes. Motion carried with all members present voting Ayes@.
Treasurer's Report: Ramona Christensen presented the October 2005 Treasurer's Report showing a balance of $13,289.67 which includes term share accounts. There is $3,082.26 available in the checking account. Ramona advised she had contacted ARMA International to advise them of our bank account changes so that our escrow money would be deposited correctly.
COMMITTEE REPORTS:
Education: Rich Wilson reported that Barb Thomasee is working on notifying the various schools around the state of our scholarship that is available by mailing out letters. Donna Crock further advised she has updated the website with the changes made to the scholarship application and it is now available to fill out on-line. She also advised she sent e-mails to the principals of high schools and to the various colleges. Ramona advised the Chapter received a thank you letter from Laramie County Community College (LCCC) thanking us for the $500 scholarship issued to one of their students.
Membership: Kristy Anderson provided a membership update, reporting there are 35 members listed on ARMA International=s website that currently belong to the Wyoming Chapter, but explained this website had not been updated since July 2005, so several members are missing from that listing. Discussion followed on inability to access information on ARMA International=s website and concerns and frustration with it not being regularly updated. It was advised these concerns had been forwarded on to the board of ARMA International and were going to be discussed at their business meeting this month. Rich Wilson advised he has a lead on a possible new member and requested members to continue to recruit new members.
Newsletter: Donna Baur mentioned she is working on information for the newsletter and requested any training information be forwarded on to her for the newsletter. Discussion followed on a request from a vendor to advertise training they are offering in our newsletter. After discussion it was decided not to include this in our newsletter as it is advertising a product the company is trying to sell through a seminar they are offering.
Programs: Wendy Kinkade announced the November meeting will be held on Nov. 8, 2005 at 11:30 a.m. at the Hitching Post. Lunch will be the buffet for $13.50/ea. The speaker will be Chuck Lanham with the Historic Preservation Office and current President of the Wyoming State Historical Society. He will discuss historical research being conducted on Lakeview Cemetery, the Historical District located in Cheyenne, and other projects underway.
The December 6, 2005 meeting will be an evening meeting to begin at 6:00 p.m. and held at Poor Richards Restaurant. Dinner will be ordered off the menu. This will be a social event with spouses, significant others, and guests invited to attend. It was decided canned or non-perishable goods will also be collected to donate to Needs.
The January meeting date is still pending until the chapter knows for sure when the President of ARMA International will be here. Paula Sutton, Region Coordinator, is helping with these arrangements. It was decided to hold the meeting at the Hitching Post.
Web Site: Donna Crock reported she has updated the scholarship information, and will update the meeting schedule and minutes as received.
OLD BUSINESS:
Charitable Ideas: Christina Russell, an ARMA Chapter member, sent a memo suggesting the chapter contribute a Thanksgiving Box for needy families. The box includes the turkey and the fixings for a Thanksgiving dinner as provided by Holy Trinity Church Share Plan. Donna Crock, seconded by Kristy Anderson, moved to approve $21 contribution to Holy Trinity Share Plan for donation of a Thanksgiving Box to a needy family. Motion carried with all members present voting Ayes@.
It was advised our chapter member from Jackson, Donna Baur, selected AGirls Actively Participating G.A.P.@ as her charity choice to receive one of the $25 contributions previously approved by the chapter. The other chapter member selected to choose a charity to donate $25 contribution to is from Glendo, Wyoming. The Board had not heard her charity selection at this time.
Wendy Kinkade reported she had contacted a representative in Wright, Wyoming regarding donating items to tornado victims, but had not heard back yet regarding this.
Seminar Information: Rich Wilson reported the speakers for the seminar are William LeFevre and William Gulley who will discuss ARecords Management and Information Technology Convergence and Digital Disaster Recovery.@ The seminar is scheduled for Feb. 10, 2005, Friday to be held at Hitching Post Inn in Cheyenne. Donna Crock advised information letters regarding collecting donations for the silent auction were e-mailed to members.
NEW BUSINESS:
Kristy Anderson reported she had purchased a gift bag from ABuckets of Fun@ on behalf of the chapter for Valerie Roybal (ARMA Board Member) who recently had surgery. Donna Crock moved to reimburse Kristy for the purchase of Valerie=s get well gift, seconded by Ramona Christensen. Motion carried with all members present voting Ayes@.
Rich Wilson announced ARMA International awarded the chapter one membership in the amount of $150 to be given to a new member due to the chapter=s 12.9% increase in membership last year. Discussion followed on criteria to select someone to offer the membership to and it was decided it should be someone who has shown an interest in ARMA and whose company won=t pay for their membership. Kristy Anderson, seconded by Wendy Kinkade, moved to offer the membership to Pat Newbern with the Wyoming State Archives. Motion carried with all members present voting Ayes@.
Next Board Meeting: The next Board meeting will be held on Tuesday, November 15, 2005, City of Cheyenne Municipal Building conference room, Room 208 at 11:30am.
